Event Coordinator

We are seeking a highly organized and proactive Event Coordinator to support a multi-day event taking place May 3–6, 2026. This role requires both advance planning support and on-site leadership during the event.

This position is in-office in El Segundo prior to the event and fully on-site at in Huntington Beach during event days.

Timeline & Commitment

  • Pre-Event (4 Weeks Prior):
  • 15–20 hours per week in-office capacity in El Segundo, supporting planning, logistics, vendor coordination, and production preparation
  • Event Dates (May 3–7, 2026):
  • On-site in Huntington Beach providing coordination and leadership support

Leadership Responsibilities

  • Lead – May 3, 2026: Off-site dinner coordination
  • Lead – May 4, 2026: Off-site activity coordination
  • Responsibilities include managing run-of-show, vendor communication, guest flow, transportation timing (if applicable), and ensuring seamless execution of off-site experiences.

Key Responsibilities

  • Assist with pre-event logistics and planning
  • Coordinate with vendors, venues, and partners
  • Support production timelines and event documentation
  • Manage guest communications and confirmations
  • Oversee off-site event execution as assigned
  • Troubleshoot on-site challenges quickly and professionally
  • Provide general event coordination support across all program days

Qualifications

  • Prior experience in event coordination, production, or event management required
  • Strong organizational and time-management skills
  • Excellent communication and vendor management abilities
  • Ability to lead off-site activations independently
  • Comfortable working flexible hours leading up to and during the event
  • Calm under pressure with strong problem-solving skills
